Compress PDF to 500 KB
500 KB is enough for a few scanned pages if you set things up well. Use this tool, already set to 500 KB, for a set of certificates, a reference letter or a short application pack.

Good to know before you begin
Reaching a small size usually means saving pages as pictures, which removes searchable text, links and form fields. The tool aims at or under the target, counting 1 KB as 1,000 bytes. If it can’t get there, you get the smallest version with a note saying so.
How to compress a PDF to 500 KB
- If the form wants everything in one file, combine your documents with Merge PDF first.
- Select Choose a PDF and pick the file.
- Keep Target size at 500 KB, or pick Custom if your limit is different.
- Select Compress PDF →.
- Check the size and resolution in the result line, then select Download result ↓.
One file or several?
Read the upload page before you compress. If each document has its own upload slot, compress each one separately, and each gets the full 500 KB. If the form wants a single file, merge first and compress the merged file, because the tool splits the budget across every page.
India’s regular visa application is one example of a 500 KB ceiling: its document upload page accepts PDFs between 10 KB and 500 KB (document upload rules, checked Oct 30, 2026). Many job portals allow much more. USAJOBS, the US federal jobs site, takes resumes and documents of 5 MB or less (USAJOBS help, checked Oct 30, 2026), so check before you shrink anything.
What we got in testing
- A three-page sample scan we made (300 DPI color, 5.87 MB) came to 405.8 KB at about 125 DPI. That’s comfortably readable.
- A six-page scan of 15.28 MB with heavy photo-like detail did fit, at 419.9 KB, but only at about 64 DPI, and the tool warned that small print might be hard to read. With that many scanned pages, see whether the form accepts more than one file.
- IRS Form 941 as downloaded from the IRS (3 pages, 821.9 KB) came to 476.7 KB, but only by turning its pages into pictures at about 110 DPI. Its form fields and selectable text did not survive, which matters if someone needs to type into it later.
Keep text readable for screening
A resume or cover letter exported from a word processor is rarely the problem. In our tests, a 30-page text-only PDF was 300.8 KB in total. If a text document is over 500 KB, it’s usually because of a photo, logo or design export. Re-export it from the program you wrote it in with smaller images, so the text stays selectable and searchable.
If it doesn’t fit
- Take out pages the form didn’t ask for with Organize PDF.
- Rescan at a lower resolution. The US State Department suggests 150 DPI for immigrant visa document scans (NVC scanning tips, checked Oct 30, 2026), and that’s a sensible ceiling for most uploads.
- Split the pack into parts with Split PDF and upload them separately, if the form allows it.
- If the result message warns about small print, zoom in and read it yourself before uploading.
What changes in the file
If Optimize alone gets the file under 500 KB, you keep the text, links and form fields. Otherwise pages are saved as pictures and those are lost. The result line tells you which one happened. Digital signatures may stop validating after any change, so compress before signing if you can.
On a computer or phone
On Windows and Mac, the result goes wherever your browser saves downloads. The tool also works in mobile browsers, but large scans take longer on a phone than on a laptop, and very long files can run out of memory. On iPhone, Safari saves the result to the Downloads folder in the Files app (Apple’s instructions). On Android, Chrome saves it to Downloads (Google’s instructions). A merged pack of many pages can take a minute on an older phone. Keep the screen on until it finishes.
Questions
Does compressing change the page order?
No. Pages stay in the order they were in. Use Organize PDF if you need to rearrange them.
Why did I get my original file back?
Either it was already under 500 KB, or every smaller version the tool made came out larger than the original. Text-only PDFs are often like that.
