How to fill out and sign Form W-4 as a PDF
To complete a W-4 without printing it, download the 2026 form from the IRS, open it in Fill & Sign PDF, fill in Step 1 and any other steps that apply to you, sign Step 5, and download the result. Give the finished form to your employer. Do not send it to the IRS. The tool is free, needs no account, and works in your browser, so the file is not uploaded.
This guide explains how to fill in the PDF, not what to enter. Withholding depends on your own situation. For that, use the official instructions, the IRS Tax Withholding Estimator, or a tax professional.
Get the current form
The W-4 is revised every year. Download it from About Form W-4; the current file is Form W-4 (2026), with the year printed at the top right of page 1. The instructions are built into the same PDF:
- Page 1: the certificate itself, Steps 1 to 5, plus a box marked “Employers Only.”
- Page 2: general and specific instructions.
- Page 3: the Step 2(b) Multiple Jobs Worksheet.
- Page 4: the Step 4(b) Deductions Worksheet.
- Page 5: tables used with the Multiple Jobs Worksheet.
The worksheets on pages 3 and 4 are for your records. Your employer needs page 1.
What you have to fill in
Page 1 says to complete Steps 2 to 4 only if they apply to you, and otherwise to skip to Step 5. Step 1 (your details) and Step 5 (your signature) are needed on every W-4. The form adds that it is not valid unless you sign it.
Two details on the 2026 form are worth knowing before you start:
- Claiming exemption has its own checkbox. It sits just below Step 4(c). The certificate text says you meet both conditions for exemption for 2026 and that you will need to give your employer a new W-4 for 2027. Page 2 explains the conditions and says to submit the new form by February 16, 2027.
- The Deductions Worksheet now lists more items. Page 2 says Step 4(b) can include itemized deductions and deductions such as qualified tips, overtime compensation and passenger vehicle loan interest.
Fill in the W-4 step by step
- Save the official fw4.pdf to your device.
- Open Fill & Sign PDF and select Choose a PDF, or drop the file into the file area.
- In Step 1, type your first name and middle initial, last name, address, and city, state and ZIP code. Type your social security number in box (b).
- Tick one filing status box in Step 1(c).
- If Step 2, 3 or 4 applies to you, fill it in. If you use a worksheet on page 3 or 4, you can type into it too, then copy the result to page 1 yourself.
- Select ✍ Signature, draw or type your signature, select Use signature, then tap the Step 5 signature line. Select + Date and tap the date space on the same line.
- Leave the “Employers Only” box blank. Your employer fills that in.
- Tick Flatten after filling if you want the answers locked, then select Create filled PDF → and Download result ↓.
Drag ✥ to move the signature or date, and use − and + to resize them. Use the Zoom menu on a phone.
Things that work differently in a browser
The IRS W-4 is an Adobe hybrid form. In Adobe Reader it can run built-in scripts; in PDFReadyGo it is filled as a standard PDF form that any app can read, and the Adobe-only layer is left out of the download. In practice that means:
- Nothing is calculated for you. Worksheet results are not carried to page 1, and Step 3 is not totaled. Do the arithmetic and type each amount.
- The filing status boxes are separate. Make sure only one is ticked.
- Boxes have no labels on screen. Go by the step numbers printed on the page.
- Type amounts the way the form shows them. There is no automatic dollar formatting.
We filled the official 2026 W-4 with sample details, a Step 3 amount and a drawn signature. The values were saved in the right fields, and after flattening no fields remained and every entry was visible on the page.
About the signature
PDFReadyGo places a picture of your signature on the page. It is not a certificate-based digital signature and does not prove who signed. Many employers collect the W-4 through their own payroll system instead of a PDF. Ask your employer or HR team what they accept, and print and sign by hand if they need ink.
Lock, combine or shrink the finished form
- Lock it. Use Flatten PDF on the download if you did not tick Flatten after filling.
- Combine new-hire forms. Merge PDF puts your W-4, W-9 or other forms into one file. Flatten each form first. Our flattened W-4 was 237.2 KB.
- Remove the extra pages. If your employer only wants page 1, Split PDF can save it on its own. Keep the worksheets for your records.
- Fit an upload limit. Compress PDF can make a smaller copy. Its Target size mode saves pages as images, so keep the full version too.
What if it does not work?
- Your employer’s portal rejects the file: try the flattened copy, which some portals handle better.
- You filled last year’s form: check the year at the top right of page 1 and download the current one.
- “This PDF is encrypted”: download a fresh copy from irs.gov.
